Cashier Accounting System 

Cashier Legal Accounts is a comprehensive and integrated accounting solution that fulfills the needs of the small to medium sized legal practice, whilst its ‘big brother’ Cashier Legal Enterprise, is targeted at the larger practice. This system meets and exceeds the requirements prescribed by the Law Society, the Legal Services Commission (LSC) and LEXCEL, with reports that comprehensively cover all standards bodies. Reports are produced and delivered by email or printout through the system both quickly and easily.

As a module of DPS’ One Office solution, the Cashier system is built around a single database model meaning that data can be shared throughout a business with ease. When Cashier is installed as a module of Case Management, any transaction entered into Cashier by a member of the accounts department is immediately reflected in all areas of the system, including the fee earner desktop. This aspect of the system is ideal in so far as any accounting transaction that has affected the case (credit limit exceeded, WIP limit approached) is immediately apparent to fee earners.   

Reporting 

As a sophisticated accounting system, Cashier is fully equipped with all the standard reports your practice will need. These reports cover areas that affect the practice as a whole such as Key Performance Indicators, as well as specific areas of work such as LSC criminal contract billing. This combination of reports provides the practice with a good indication of how their contract performance is being managed. In addition, there are specialist sections for all publicly funded and private work, allowing a Practice Director to monitor individual fee earner and work provider performance.
 

Open Period Accounting 

Cashier can allow up to 24 periods to be open at any one time, covering the whole of the current and previous financial years. In normal use the current, last and next periods are kept open allowing posting into the current, next and last month. 
 

Automatic Bank Reconciliation
 

Electronic statements can be downloaded by the user’s bank and set to be automatically reconciled with the computer records. Cashier can then ‘compare’ the electronic statements and tick items that are reconciled. This is a versatile and powerful function that allows the user to post missing entries whilst reconciliation is in progress. 
 

Purchase or Disbursements Ledger
 

Cashier has a full function purchase ledger, which controls supplier payments and balances. A full set of purchase ledger reports is available, including the Aged Creditors list and suppliers’ listings and these can be viewed in both summary and detailed format, and a Transaction History. 
 

User Defined Interest Calculator, Client or Office Account 

The interest calculator calculates client account interest in accordance with the Law Society rules, on any number of client accounts. The calculator is flexible, allowing ad-hoc calculations to be made using the scheme assigned to a matter or using an alternative scheme chosen by the user. 
 

Chart of Accounts & Management Reports
 

This facility allows users to create their own charts of accounts so that management reports can be instantly drawn, in any way that the user requires them.  
 

Graphs can be created from the nominal account balances based on this year/last year and budget values.

 

 

 

Cheque Printing & Remittance Advice 

Cashier’s cheque printing system allows the user to print office and client account cheques requested from multiple locations, against multiple matters. When cheques are printed the numbers are automatically updated on the ledger cards, so that users can see precisely when cheques were drawn and their specific numbers.  
 

Automatic Online Bill Submission - CDS Billing 
 

LSC contract bills such as the CDS6 can be created in DPS case management and then automatically billed against individual ledgers in the accounts. CDS6 is billed by a single click operation and once billed, the user can use the single click option to receipt all the individual bills from the SMP and make all necessary transfers and allocations.

Flexible Ledger Card 
 

The cashier ledger card can show Office, Client and DDA accounts on the same screen. All entries are colour-coded and detailed simply so that accounts and non-accounts staff alike can understand the information. Users can ‘investigate’ individual entries on the ledger card if they need any more information. 
 

 

 

Fee earner desktop inside MS Outlook™  

Ledger cards, time recording sheets, case management, billing requests, cheque requests and reports can be accessed through the fee earner desktop inside MS Outlook™. This functionality means that fee earners use only one program for their email, accounts and case management.

 

 

 

Flexible and automated time recording 

Cashier can capture time by one of several methods. An electronic time sheet allows users to enter their time and track their progress towards targets through daily or weekly time recording. The time sheet can be presented to the user either as a desktop application or inside their MS Outlook™.  
 

This level of integration often gives users the potential to increase their billable work.   

 

 

 

User-Defined Security 

Cashier’s high level of security ensures that any sensitive information, relating either to a client or the practice, is kept strictly within defined users’ access. Program access is determined by assigning a pre-defined customisable security profile to each user. Access to every aspect of the software is controlled.
