Digital Dictation, a backward step?

Mike Brown, IT Manager of Levenes

When legal practices first installed case systems the promise was that a high level of standardisation and sophisticated document assembly would get rid of dictation. Well to a great extent it did in a lot of ways and in a lot of work types. Look at the high level of standardisation in mortgage repossession or re mortgage work. Everything is automated as far as possible.

Did it get rid of dictation altogether? No of course not, there was always that extra paragraph or complete one off document that had to be done.

Now with ‘digital dictation', everyone can go back to the hand mike. Then the practice get lots of reports on who dictated the most work, and who was most productive and lots more. This cannot be the answer; it is obvious that the most productivity is

achieved by getting everyone in a practice to use computers, fully not as a glorified tape machine.

Of course there is a need for dictation and there are proven savings in case management, but neither is the complete answer.

Along comes “TeamTalk” from DPS software.

In DPS case software, choose a document to process, DPS creates a letter/document/form/statement and shows it to me in Word.

After confirming that this is the right document to the right person on the right case but you want to dictate an extra paragraph, whole letter, and statement, whatever. So simply dictate. The dictation AND the base document that has been done then goes to a secretary, the pool, the team, the Punjab, South Africa, wherever. The secretary then types up the dictation in to the document in the right place.

Once the document is returned, checked electronically, is already laid out right, has less spelling mistakes (no names and address to type they were sent with the base document), is in the right font, is already filed against the case, is already costed.

“TeamTalk” is much more than digital dictation linked to DPS case management. It works with HOT DOCS, PC-DOCS, iManage, or simply on it's own as a digital dictation and work flow management system.

“TeamTalk” is written using the latest .net technologies from Microsoft including SQL2000 as it's enterprise level database.

Mike Brown of Levenes Solicitors said, “At Levenes solicitors, a multi-office practice, we have found that Digital Dictation allows us greater flexibility. We can not only send files to other teams within an office for typing, but we can utilise any spare capacity in other offices. This dramatically reduces our reliance on temporary staff, and improves turn-around times.”

Osman Ismail, the Managing Director of DPS Software said, “TeamTalk has been designed from the ground up to complement not replace some of the very excellent systems on the market that solicitors already use”
