DPS Delta Search is a full text search that can be run from DPS One Office, Outlook Office, or DPS Web View. The search can be:
1) Run from within a DPS file and search every document attached to that particular file.
2) Run across all work done over any chosen period of time on any file. This search can also be filtered to only search work done by one or more individuals.
Document types that can be searched include doc, docx, xls, xlsx, rtf, pdf, ppt, txt, csv, msg (emails), and any email attachments that are in a searchable format or zip files.
Before the Delta Search can be used within DPS, the application needs to be indexed against the DPS file system. This is a simple one off task that indexes the complete file system, including all documents whether they are associated with DPS files or not.
A single index can hold over a terabyte of text and DPS Delta Search can create and search an unlimited number of indices with a single search request. These indices are automatically updated using the Windows Task Scheduler, reflecting additions, deletions and modifications to documents. Updating an index is a quick process that checks each file and only reindex files that have been added or changed.
Users may only want to search files that are not indexed. If this is the case, the system can undertake an unindexed search as well as a "combination" search.
When DPS Delta Search performs an indexed search, the system searches the index that it has built. In contrast, an unindexed search searches through the documents themselves. In either case, when Delta Search displays a retrieved document the findings refer to the original document, using information in the index to highlight hits. Searching and document display or indexing will never alter original files.
