Product News

 

One Office In Outlook The new outlook addin from DPS puts some additional buttons into outlook. They allow users to look at their tasks, or work that they have completed in any period of time. You can also view events on any file, or even look at a ledger card. Appointments or tasks made in Outlook are linked to One Office and appear in the One Office events file. When emails are sent the user is prompted to select a One Office case file, which the email is being sent against. You can also choose to chase up emails sent at interval periods. If the chase up is selected then not only will the sent email be attached to the correct file but it will be chased every X (the interval set by the user) days. This way a user can send emails or work on files without being in One Office at all. Appointments made in Outlook can be moved in Outlook and all changes are immediately reflected in One Office. Appointments can be made by many fee earners in many outlook diaries but they all appear centrally in the One Office task list and are available to any authorised users.

 

The contacts database in One Office will also be available in the Outlook addin from January 2006 onwards. As some of you will know we have changed our phones to the very popular AVAYA VOIP system. This will give us the ability to automatically dial from the contacts screen, and automatically pop the correct contact when receiving incoming calls.

DPS Accept Law Society Invitation To Join Guide
As many of you will know DPS opted out of the Law society Software Solutions guide last year.  We felt that the guide format did not reflect our business. We have discussed this with Peter Garner who manages the guide and have decided to accept this year’s invitation to be in the guide. DPS have always felt that the process of getting into the guide is a valuable one but rejected last year’s invitation because of differences of opinion in the presentation of company information in the guide. Osman Ismail and Scott Ridley of DPS attended the guide interview this year and showed the One Office product. The comments from the guides panel were very encouraging, “fabulous innovative software, in fact the most innovative that we have seen”. They were particularly impressed with the Outlook Addin interoperability, and the ability to run case management inside Outlook. No other supplier in or out of the legal market offers this level of interaction with Outlook. Osman Ismail of DPS said, “the guide is an important tool for many solicitors, when selecting suppliers to look at. However our existing clients remain our biggest marketing tool. Hopefully, satisfied clients tell others, and that’s the sort of marketing we want”

 

 

 

Web Based Quoting Module DPS have developed a brand new web based quoting module for conveyancing work. This is a smart program that runs in conjunction with your own web site. It looks at the style of your web site and adopts it for the quoting module. This is very easy to set up, the module that allows a firm to quote for HIPs, sales, purchases, and joint sale and purchases. Once the module is loaded onto your web site it simply asks for the type of transaction and property price that a quote is required for. Once this information has been entered on screen a complete quote is produced.  You can try out the system for yourself on the DPS web site at www.dpssoftware.co.uk/webquote

REMINDER SDLT form available to update on line OCTOBER 2005
We covered this in the November issue, but it is very important so we will cover it again. One Office allows users to complete the SDLT forms on line. Users that want to take advantage of this facility will need to register with the government gateway http://www.gateway.gov.uk/.  The update is free of charge and available to all users under maintenance. If you are unsure of what version of DPS you are using then please contact your account manager or fbongiorno@dpssoftware.co.uk on 020 8804 1022 for further details.

 

 

 

 

REMINDER HIPS module complete
The HIPs upgrade is available on the web site as an upgrade. We covered this in the November e-news but use this opportunity to remind you. Again you may need some training using it this, it is expected to be minimal providing you are up to date with your DPS expertise. Crime Corner

 

CDS Overtime Reports the CDS opened and closed class reports have been changed and now include the social and unsocial hours worked by each fee earner during any period of time. These reports can be exported into excel and using a simple formula, you can calculate overtime payments for each period. The enhanced reports can be loaded onto your system, just email technical support on tech@dpssoftware.co.uk and they will schedule the installation for you.

These seminars have been booked on the back of the highly successful seminar held in London. Our speaker Tim Platel was rated as excellent by all the people that attended.

These seminars detail what is in the HIP and how experts in the area see their introduction will affect the legal business. The Manchester seminar is scheduled on the 18 January at The Midland Hotel, Manchester. The Birmingham seminar is scheduled for the 19 January at The Crown Plaza, NEC Birmingham. Client Focus

 

J D Spicer & Co London have recently installed DPS Cashier accounts software and TeamTalk digital dictation into their Kilburn, Wood Green and City offices. As a major criminal practice they needed to ensure that they operate their offices in the most efficient way possible. The management information produced by TeamTalk is incredible and easy to understand. The reports from the accounts make monthly management reports a breeze. The overall project that was undertaken took over 6 months and including training and project management cost just over £150,000 including hardware. This is clearly a significant investment for any firm particularly one that does a significant amount of LSC work. Senior partner Phillip Spicer said, “any firm that does not have a solid IT infrastructure is building a business on shifting sands, I need to make sure that my staff are given the best tool for their jobs”.  They are extending their usage of digital dictation over the whole practice and have provided full file access for partners over the internet.

 

 

 

Centralised Support Line for all clients

 

 

0870 4130393 is the new central help desk support number for all products whether you normally call DPS or our reseller PCS. This one number works at local call rates throughout the country and covers the full range of DPS products. All support for all DPS support contracts is now available through this one number which is direct to the support desk. There are now 5 staff permanently on the support desk and we aim to answer most queries during the same call. If support does not meet your expectations then please tell us so that we can improve

Profile Jill Grierson support desk, Jill is based in County Durham and is connected to our office using Citrix technology for the computer systems and voice over IP (VOIP) for the phone. You can speak to Jill by calling our central support number. Jill is a highly experienced Cashier who has been on our help desk just over 3 years. Jill is very popular with clients and is involved with the design and changes in the Cashier system. Apart from support Jill also tests products pre release and has also been involved in data conversions.
