Number of Offices: 3

Location(s): Bedfordshire; Cambridgshire; Northamptonshire

Software Used: Outlook Office; DPS Financial Director

LGSS Law Ltd provides legal services to more than 100 client organisations from the public and non-profit sectors. It was set up in March 2015 in a merger between Cambridgeshire and Northamptonshire County Councils and was one of the first companies to be granted an ABS licence, allowing them to become a company owned by non-lawyers. Since then, the company has grown further, merging with Bedfordshire County Council in April 2016 and having more than 140 members of staff.

Such a period of change brought with it certain challenges, one of which was technology and what systems would be used. They opted for DPS in February 2017 which allowed them to operate across several offices using the same software.

LGSS are using DPS Software’s systems for the fee earning and accounting sides of the firm, using DPS outlook Office and DPS Financial Director.

Gareth Britten, Project Manager at LGSS Law was heavily involved in the decision-making process and commented:

"The brief was to select a modern, flexible and integrated practice management system with a simple user interface.

That would enable improvements to case management, financial control, regulatory compliance, bundling, the quality of services offered and the profitability of the firm.

We identified DPS’s practice management software as the best provider of systems to enhance the quality of our legal services."

The end user interface of DPS Outlook Office and its integration with Outlook provides a ‘’pleasant user experience’’ according to Gareth, as all emails, files and accounting information are stored within the same holistic system.

"We wanted to give our case workers the tools they needed to access and produce information easier and quicker. Thanks to the case management software from DPS, we will be able to speed up processes and increase productivity, while the automated tasks embedded in the workflows will helps us decrease error rates and enhance the quality of our work.’’ said Mr Britten.

The reporting capabilities of DPS’s Practice management system represented by their comprehensive management reports will give LGSS a deeper insight into the financial health of the practice, allowing them to identify specific areas of profitability as well as areas for improvement.

Osman Ismail, the Founding Director of DPS said:

"We are very excited to be part of LGSS Law’s growth and future plans.

They are a very progressive ABS that have already achieved impressive results in a short amount of time. We are eager to be their technology partner and be a part of their success in the years to come."

Lynne commented, “It was a challenge to implement the system as we had to fully integrate two case management systems and a separate financial system.

Not only did we have to implement the system structure and migrate vast amounts of historic and current data, we also had to provide enough information, training and support to our legal teams.

They had operated the previous systems for some years, but accept the introduction of new business processes in terms of time recording and other regulatory processes, to which they had minimal historic exposure.”

“The implementation of the DPS Case Management System has enabled our business to adopt more streamlined and efficient working processes, which accommodates our flexible working ethos.

The reporting systems greatly enhance our ability, from a Practice Management perspective, to obtain a greater degree of data that assists with our own internal management processes.”
